Job Overview

The Medical Operations Coordinator is responsible for cross business unit, centralized support for key medical programs, compliance and financial record keeping. The incumbent will support the implementation of a robust internal control environment to track the continuous progress of key medical initiatives and manage aspects of the company’s corporate compliance program.

The incumbent will work together with the Medical Operations Lead to ensure that ongoing projects are in line with Global Business Unit and Medical Operations objectives, as well as overseeing that data points and financials are consistently tracked. He/She will ensure the relevant processes and agreements are audit-ready at all times.

Key Responsibilities

  • Work with the Canadian Medical Affairs team to support all studies and projects with compliant financial processing and budget management.

  • Assist the Medical Operations Lead to ensure that metric and status reports are accurately prepared and presented to cross-functional leadership teams to support POA planning and business reviews.

  • Communicate medical program updates to Business Units Heads, Marketing, Medical, and Commercial Teams on a regular basis.

  • Ensure that budgeting, timelines, legal contracts and tracking of milestones are maintained with concise and thorough record keeping.

  • Act as local coordinator for local and global clinical trials for all Canadian studies (phase 1 to 4) to ensure milestone progression, reporting and tracking.

  • Coordinate the Fair Market Value (FMV) and contract processes.

  • Manage grants applications, sponsorships, funding requests and honoraria.

  • Ensure Purchase Orders (POs) are in place and invoices are paid in a timely manner.

  • Coordinate all ZINC activities and ensure teams are properly trained on system use and requirements.

  • Liaise with Legal department ensuring timely execution of agreements.

Required Qualifications

  • University or College Degree in administration or science

  • Minimum of five (5) years of progressive program oversight and administration experience

  • Experience in the biotechnology/pharmaceutical/healthcare industry

  • Analytical and forward thinker, results oriented, self-organized and self-starter

  • Strong customer-service skills and orientation

  • Hands on with an attention to detail and timelines

  • Must be able to work well independently as well as part of a broad team

  • Advanced computer and presentation skills
