Sanofi Group Sales Administration & Communications Sr Manager CHC in Bridgewater, New Jersey

The Sales Administration plays a pivotal role in the smooth operation of the CHC Sales department (CHC Sales team and internal Sales support team). This person will ensure day to day requests from the Sales team are met with timely, and complete solutions. Manage the large influx of requests, with varying timelines and levels of complexity. Central resource for field based Sales team 60 representatives.

Job Responsibilities:

  • Be Proficient in all aspects of Sales Support Specialist and Sales Support Manager responsibilities in order to provide back up support when needed

  • Manage Team Workloads & Organizational Impact

  • Prioritize and oversee team workload

  • Liaison with department Heads and Directors across the organization on strategic initiatives which impact Sales Administration

  • Proactively offer solutions/bridge gap where assistance is needed

  • Lead Process & System Improvements: Collaborate with Sales Support Manager to bring about process improvement projects to benefit the Sales team. Ongoing assessment of areas to improve/update/streamline within Sales Administration. Some examples are:

  • Create Sales WebCenter Portal where Sales team can directly enter and track WebCenter projects

  • Implement automated RA (Return Authorization) Process

  • New Product Mapping Process - collaborate with departments to create central location to house and automate the lifecycle and documents of a product, from inception to on shelf at retailer

  • Sales Website – Redesign and overhaul look, content and functionality of Sales Website to better serve Sales team

  • New Hire User Guide – create and compile onboarding resource for new hires in CHC Sales.

  • Sales Sample Process & Mock Ups – implement SOP for Sales Samples to include standards, timelines, etc. for cross functional departments involved with their creation.

  • Price List – create web based platform to house Price List for ease of use and real time changes available to Sales Team.

  • Lead Meeting Logistics and Support

  • Institute advanced bookings for NSM to ensure preferred locations are secured

  • Coordinate all Sales Meetings to include site selection, negotiating, planning, logistics & execution and billing vs. budget:

  • National Sales Meeting

  • Regional Field Meetings

  • Directors Meeting

  • Training

  • Support any logistical needs for Sales & Marketing Conference(s)

  • Lead Sales Incentive Coordination

  • Coordinate & Plan Annual Elite Trip: site selection, negotiating, planning, logistics

  • Institute advanced bookings for Elite Trip to motivate Field Sales

  • Develop Elite Booklet of all the winners and distribute

  • Sales performance awards and plaques: Ensure ordered/shipped/wall plaques updated

  • Lead Fleet Management

  • Liaison with Element contact for any Fleet inquiries from our fleet drivers (i.e. Fuel/Maintenance Card, etc.)

  • Manage Drive in Style Cars for incentive winners

  • Maintain detailed archives and inventory master list for all Fleet cars

  • Process monthly bills and credits

  • Liaison with accounting and drivers for year-end personal mileage tax processing

  • Monitor accidents and have fleet driver complete accident form to outline details. Match up with Accident report from Dave Richards/Sanofi monthly.

  • Assign trainings on Driving Dynamics as needed.

  • Request annual MVR Report from CCM. Work with HR on appropriate action based on points. Communicate to affected drivers on MVR points and necessary next steps.

  • Lead HSE & Safety Committee

  • Schedule and hold quarterly Safety Committee meetings with HR, internal HSE contact, Head of Sales and Trade Management, Head of Field Sales, Head of Sales Planning & Trade Development, Sales Admin, Regional Field Director.

  • Create agenda and distribute and archive minutes post meeting, outlining next action items/next steps.

  • Work closely with HSE CHC Sanofi contact and HR contact to addressing any HSE compliance issues

  • Lead Broker Commissions

  • Work with accounting to process monthly Broker Commissions for our 10 broker companies.

  • Do maintenance in JDE when commission rates change so current rate cascades into Showcase for monthly billing

  • Troubleshoot any related questions from Brokers or Broker managers

  • Other

  • Assist the Sales Administration colleagues on an as needed basis

  • Manage needs of direct reports

Experience, Skills and Abilities

  • Minimum Education: Bachelor’s degree in related field or equivalent experience.

  • Minimum Experience: 8-10 years in similar role requiring analysis, organization, interpretation of data and management of personnel.

  • Experience leading teams

  • Experience in consumer healthcare preferred

  • Excellent written, verbal and interpersonal skills.

  • Highly motivated, independent worker and thinker, and team oriented.

  • Strong organizational and time management skills; must have a detail orientation.

  • Knowledge of Excel, Word, and PowerPoint.

  • Must have customer service mindset and ability to assist a variety of stakeholders.

Future: Support Systems Enhanced

Systems and processes within Sales Administration need to be upgraded and refined to better serve the CHC Sales team amidst its growing portfolio. A systematic overhaul of tools, reports and communication needs to be undertaken, evaluated and elevated.
