Executive Assistant and Sales Administrator

JOB PURPOSE:

  • Responsible for the administrative support of North America Euroapi teams, with a dual role of supporting the team and coordinating day-to-day related business activities.

  • This position is supporting a team of approx. 20 people covering all Euroapi activities in North America (Sales, CDMO, Quality-Regulatory, Supply Chain, Finance).

  • This position also allows that Customer have always someone to talk to.

KEY ACCOUNTABILITIES:

  • Prepare of daily/weekly/monthly reports and KPIs from a variety of systems

  • Track and archive customer records and business processes (e.g. Contracts, SOPs)

  • Create/Maintain PowerPoint Business Presentations for the General Manager

  • Manage calendar for North American team. Schedule and plan team meetings

  • Daily interface with staff, senior level managers and global admin network

  • Provides excellent support with answering customer telephone calls, responding to email and mail communications, and coordinating in-person business meetings

  • Support Travel Booking Arrangements and Expense Reports for the North American team

  • Assists in new hire onboarding and off-boarding

  • Initiate and monitor HR, Legal, Procurement requests via appropriate internal system

  • Takes initiative and independently manages special/administrative projects in dynamic fast paced environment

EDUCATION / EXPERIENCE:

  • High School Diploma or equivalent

  • 5+ years prior experience in senior administrative assistant position requiring initiative and capabilities to perform duties without close supervision

TECHNICAL SKILLS:

  • Highly organized

  • Attention to detail

  • Time management with multiple tasks

  • Clear and concise communication

  • Experience with Microsoft Office (Excel, PowerPoint, Word)

  • Experience with Collaborative Tools (Zoom, Teams, SharePoint)

  • Willingness to take on new tasks and projects

  • High Integrity
